Elected Officer Job Descriptions 

Elected officer positions for the Canyon Creek PTA are one (1) year positions and have maximum of two (2) sequential years in that position. All officer positions must be elected each year.

The time commitment estimates below are conservative and are probably the minimum one can expect - but are completely variable dependent on how much the individual in each role decides to do.

All elected officers have a vote in executive board decisions. 

President

Time commitment: minimum of 8 hours weekly

Responsibilities:

  • Organize, plan and preside at board and general membership meetings throughout the year.
  • Serve as official spokesperson for Canyon Creek PTA and act as point-of-contact for school administration and staff.
  • Work with executive board, committee chairs and school staff to ensure events and programs are in alignment with stated goals and objectives.
  • Approve all Canyon Creek PTA communication in coordination with school administration and co-Vice-President: Communications.
  • Serve as ex-officio member of all committees (except Nominating Committee).
  • Make one-year appointments to positions and committees as specified in the standing rules.
  • Ensure local unit representation at Northshore PTSA Council meetings.
  • Maintain a clear understanding of the WSPTA Bylaws and local standing rules and work toward following established PTA best practices.
  • Coordinate with Executive Committee to ensure Canyon Creek PTA remains in good standing at all levels.
  • Attend WA state PTA conventions, leadership conferences, and/or regional trainings. Requirement: 1 training class.

 

Vice President: Programs

Time commitment: minimum of 6 hours weekly

Responsibilities:

  • Assist the president and preside over meetings in the absence of the president. In the case of a vacancy in the office of president, the first vice president or vice presidents in their order shall temporarily assume the duties until the vacancy is filled.
  • Act as liaison between PTA, school administration, and the district for facility usage.
  • Develop and plan annual PTA calendar in coordination with the President.
  • Organize and submit all facility usage and warehouse requests to the district on behalf of Canyon Creek PTA.
  • Apply for WSPTA Standards of Excellence awards for which our local unit may be eligible.
  • Serve as chair of the Awards Committee that honors members of our local unit with various WSPTA and/or NSPTA Council awards (e.g., Golden Acorn).
  • Attend all PTA general and board meetings.
  • Attend WA state PTA conventions, leadership conferences, and/or regional trainings. Requirement: 1 training class.

 

Vice President: Communications

Time commitment: minimum of 8 hours weekly

Responsibilities:

  • Assist the president and preside over meetings in the absence of the president. In the case of a vacancy in the office of president, the first vice president or vice presidents in their order shall temporarily assume the duties until the vacancy is filled.
  • Oversee PTA communication channels, including, but not limited to, website, social media, newsletter, kidmail, reader board, and email.
  • Work to ensure consistent branding and messaging across all communication channels.
  • Coordinate with PTA board and committee chairs as needed to develop consistent cross-platform communication strategies for programs and events.
  • Assist in writing newsletter submissions, flyers, and other parent communications when needed.
  • Attend all PTA general and board meetings.
  • Attend WA state PTA conventions, leadership conferences, and/or regional trainings. Requirement: 1 training class.

 

Secretary

Time commitment: minimum of 8-12 hours monthly

Responsibilities:

  • Compile the agenda and record minutes of PTA meetings.
  • Assist as necessary in PTA business including record keeping and correspondence.
  • Attend PTA general and executive/board committee meetings.
  • Attend WA state PTA conventions, leadership conferences, and/or regional trainings. Requirement: 1 training class.

 

Treasurer

Time commitment: minimum of 15 hours monthly

Responsibilities:

  • Serve as chair of the budget committee; present the budget to the membership; keep accurate records at all times; receive monies, issue receipts, and make deposits promptly in an authorized account; distribute same according to the approved yearly budget.
  • Present a written financial statement at each general membership meeting, monthly board meeting and other times as required by the president; provide all financial records if requested by the president or board of directors member; close the books on June 30 and submit the books and records for financial review.
  • Responsible for time sensitive government filing including business registration and tax filing. The Treasurer also ensures that the PTA is adequately insured.
  • Responsible for assisting with the financial reconciliation of money earned as a result of the PTA major fundraising efforts each year.
  • Attend WA state PTA conventions, leadership conferences, and/or regional trainings. Requirement: 1 training class.

 

Assistant Treasurer

Responsibilities:

  • This position is a shadow role for the Treasurer, with the idea that this person would run for Treasure after a year in the “Assistant Treasurer” role.
  • Assist the Treasurer in their duties throughout the year. Primary job is to learn what the Treasurer does and be comfortable with the role by the end of the year. (See Treasurer duties.)
  • Attend WA state PTA conventions, leadership conferences, and/or regional trainings. Requirement: 1 training class.
  • This position will NOT be an authorized check signer.
  • NOTE: this is not a required position and is listed as OPTIONAL to the executive board, per our standing rules. If filled, this position does have a vote on the board.
